Requirements

Must be able to operate all office equipment including phones; multi-task; data-entry (20-40 words per minute); obtain insurance license within 30 days of employment; pass background check.

Responsibilities
  • Answer phones, transfer calls for quotes, new business, policy changes and inquiries to licensed agent and/or producer under the direction of the agency owner
  • Schedule new business, renewal and follow up appointments for agency owner,  licensed producer; and placing on the agency outlook calendar
  • Maintain files and records (creating new files; complete monthly file audits to ensure all required documents are in the electronic account in APEX, paper file and file backs);
  • Refer prospects or customers to an agent or a licensed sales producer for all quotes. policy changes, policy review & coverage inquiries; 
  • Pull/Run Renewal reports including , send emails to clients for upcoming renewals (attaching necessary documentation)
  • Open all agency mail daily; date stamp review with agency owner and process as directed by agent (all mail must be filed in appropriate client files daily). 
  • Accept and follow-up on payments on existing policies; including missing required documents
  • Send emails to clients regarding upcoming renewals 60 days prior to renewal.
  • Take loss information from customers and reporting this information to the claims department; within APEX.  
  • Process company ALERTS utilizing APEX application
  • Manage client files
  • Manage Timesheets; make sure the times are accurate and complete at least 2-3 days prior to processing of payroll
  • Other duties as assigned by the agency owner.
  • To advance in the agency and full assist with servicing clients and potential clients, must obtain insurance licensing within 30 days of employment
