Leasing Assistant
Job Overview
We are seeking a highly organized, proactive, and detail-oriented Leasing Assistant to support the daily operations of a high-performing commercial real estate team. This individual will be responsible for managing CRM data, qualifying leads, coordinating property marketing efforts, and supporting broker activities from lead intake to transaction management. The ideal candidate will possess strong communication skills, a systems-oriented mindset, and a passion for efficiency and client service.
Salary Range: $50,000.00 - $150,000.00 per hour

Responsibilities
Lead Management & Client Coordination
- Monitor and manage the teams shared email inbox (CSTEAM).
- Use discretion to review third-party property offers and forward viable options to the broker.
- Qualify incoming leads via phone/email; log and update them in the CRM system.
- Call, qualify, and follow up with leads systematically
- Ensure timely response to inquiries (within 24/48 hours).
CRM & Data Administration
- Add and update contact details for new leads, vendors, agents, tenants, and investors.
- Maintain and categorize contact records based on role/inquiry type.
- Link contacts with relevant properties, projects, and internal records.
- Input and maintain project/property data; update statuses (active/inactive) as appropriate.
- Maintain detailed contact and project notes to ensure continuity and traceability.
Property & Marketing Support
- Assist in onboarding new properties by gathering all key data and updates for marketing presentations.
- Create and organize property and tenant representation folders.
- Coordinate with marketing team via email, phone, and task management platforms (e.g., monday.com).
- Support the marketing team as needed with property brochures, listing information, and tour materials.
Client & Partner Communication
- Maintain clear and constant communication with brokers and internal partners.
- Schedule property tours and calls with qualified leads and concepts.
- Prepare site submittals and assist in moving leads through the negotiation pipeline.
- Create void analyses for new listings and conduct tenant outreach based on findings.
- Research and identify key points of contact for target tenants or concepts.
Follow-up & Strategic Outreach
- Track expansion/relocation follow-ups for high-priority clients.
- Maintain long-term follow-up cadence for contacts without immediate plans.
- Use on-market platforms to source suitable sites for qualified clients.
- Ensure important documents and drafts are saved in the appropriate folders for reference and compliance.
Team Collaboration
- Participate in daily team check-ins and CSTEAM morning calls.
- Review dashboards, team project lists, and pipeline progress regularly.
- Provide operational support for brokers in both front-end sales activities and backend coordination.
