Insurance Agency Operations Support


Job Overview

Are you an experienced assistant with a passion for organization, follow-through, and efficiency? Do you have a background in insurance workflows, financial operations, or administrative support? Nadler Insurance, a trusted agency with nearly a century of service, is seeking a proactive professional to support our Principal in managing operations and improving productivity.

This hybrid role requires the candidate to work primarily on-site at our San Carlos, CA office during the initial phase to ensure seamless integration and training. Remote flexibility will be provided once onboarding and workflows are established.

Salary Range: $50,000.00 - $75,000.00 per year

Requirements

Must-Have Skills

  • Experience: 3+ years in an administrative, virtual assistant, or operations support role, ideally in insurance or financial services.
  • Technical Proficiency: Strong knowledge of Microsoft Outlook, and Adobe Sign.
  • Organizational Skills: Exceptional ability to handle multiple tasks, prioritize effectively, and manage deadlines.
  • Problem-Solving: Resourceful and proactive in resolving challenges and streamlining processes.


Preferred Skills

  • Property & Casualty Insurance License is a plus.
  • Previous experience with insurance workflows and financial tracking systems.
Responsibilities

Operations Support

  • Collaborate with the Principal and team at our HQ to manage carrier workflows, retrieve documents, and coordinate with external partners like COVU AMS and Capital Premium Finance.
  • Utilize agency management systems (Applied Epic and COVU AMS) to organize and document critical information.
  • Assist in obtaining e-signatures via Adobe Sign and ensure the timely completion of documents.
  • Troubleshoot and resolve operational challenges related to billing inquiries, document retrieval, and renewals.


Renewal Management

  • Run and analyze expiration reports in Applied Epic to monitor and track agency bill renewals.
  • Cross-reference renewal data with COVU AMS for accuracy and resolve discrepancies.


Organizational Excellence

  • Optimize and manage Outlook email, calendar, and task lists to support the Principal’s workflows.
  • Maintain organized documentation and records of communications, tasks, and key projects.
  • Prepare for meetings and follow up on action items to ensure timely completion.


Financial Workflow Management

  • Track and manage financial workflows, including invoicing, carrier payments, and Capital Premium Finance documentation.
  • Follow up on outstanding tasks to ensure financial processes are completed efficiently.


Communication and Execution

  • Work closely with the Principal to translate verbal and written instructions into actionable tasks.
  • Communicate effectively with internal teams, carriers, and vendors to achieve operational goals.
  • Proactively identify opportunities to improve workflows and reduce inefficiencies.
