We are seeking a detail-oriented Sales Administrator to support our sales team and ensure the smooth operation of the sales process. This position is vital for managing administrative tasks, project management, and maintaining accurate data within our systems.

Salary Range: $53,000.00 - $68,000.00 per year

  • Proficiency in Salesforce, HubSpot, Excel, ScheduleOnce, and other relevant tools.

  • Physical requirements include prolonged periods of sitting at a desk and the ability to lift up to 15 pounds.
Responsibilities

Scheduling Management:

  • Schedule and manage appointments for Sales Team initiatives
  • Organize and schedule Sales Team's attendance at the International Maxwell Conference (IMC) live events.

Create IMC schedule, arrival and departure dates, dinners, meetings, etc. while at the IMC.

  • Organize and schedule Sales Team's offsite retreats

Lead Management:

  • Add and scrub new leads in Salesforce, check for duplicates, and reassign as needed
  • Input leads from various sources and assign them to appropriate Program Advisors (PAs).

Sales Data Entry & Verification:

  • Close and verify sales daily in Salesforce to ensure accurate reporting, including confirming that commitment forms (CFs) are submitted for all sales, the correct amount is charged/received, and commissions are properly calculated
  • Regularly update and correct Salesforce data as needed
  • Send follow-up emails and provide training to PAs when necessary
  • Manage, run and confirm payments for manual sales

IT & Marketing Support

  • Maintain regular communication with graphic designers
  • Submit and manage IT and Marketing tickets on behalf of the Sales Team, following up on completion timelines
  • Create/update monthly offers in Salesforce and sales tool flyers
  • Update monthly pricing offers and communication to the company
  • Provide basic technical support to the Sales Team on company-paid systems
  • Send and manage emails for monthly end of month initiatives via HubSpot
  • Manage multiple send and suppression HubSpot lists for PAs

Sales Team Accountability:

  • Work closely with the Sales Director to monitor the Sales Team’s performance and help hold them accountable for meeting sales quotas
  • Document processes and create Standard Operating Procedures (SOPs) for key sales platforms like Salesforce, ScheduleOnce, and HubSpot
  • Ensure proper maintenance of Salesforce data hygiene, pipeline reporting, and accurate sales forecasting

PC (Program Coordinator) Support:

  • Provide daily support to PCs by answering questions, reassigning leads, and handling various requests
  • Manage the lead queue and oversee lead distribution, especially during PC vacation time or emergencies
  • Assist with creating redline contract amendments for special payment options and certification transfers
  • Assist Sales Team in sending out commitment forms and emails when they are not available to do so

Sales Contests & Campaign Management:

  • Oversee the data management for sales contests and campaigns
  • Oversee the data and management for Team Member contests

Training:

  • Lead regular training sessions and team calls, when the Sales Director is unavailable.

 Salesforce Email Templates:

  • Create new Salesforce email templates and update existing ones

Training Platform Management:

  • Maintain the Sales Team Training Platform, uploading calls, documents, and creating new courses for new hires, advanced training, and new sales tools

Sales Data Accuracy:

  • Perform daily checks to ensure incoming sales, commitment forms, receipts, and Salesforce data are aligned

Communication Coordination:

  • Collaborate with International Teams on upsells, leads, and communication efforts
  • Communicate on the PA’s behalf on qualified bonuses for Team Members
  • Manage Sales Team Support Email: salessupport@maxwellleadership.com
  • Help manage Info@maxwellleadership.com for adding new sales leads
  • Communicate to admin, IT and marketing behalf of Sales Director in creation of new initiatives

Sales Closing Support:

  • Assist in closing sales and prepare final data for executive reporting

General Sales Team Support:

  • Support additional requests as needed in a fast-paced environment
  • Additional hours required during end of month close downs & during special offers
