In-office Full Time Receptionist / Admin
Job Overview
As our Receptionist/Office Admin, you will serve as a “friendly face” and “friendly voice” of the firm and play a crucial role in maintaining a positive and welcoming environment. You'll be responsible for facilitating positive contact and communication between clients and visitors and our staff and performing administrative duties for the office. You’ll greet, assist, and provide direction and information to clients, visitors, and other guests. You’ll also handle general administrative duties including answering phones, scanning and filing documents, scheduling appointments, client invoicing, and other clerical tasks as assigned.
This is a full-time, in-person position perfect for someone who is passionate about providing great customer service, comfortable with technology, and eager to work with a collaborative team. The ideal candidate has experience wearing multiple hats providing administrative support in a fast-paced professional services firm.
Salary Range: $39,000.00 - $42,000.00 per year

Requirements
To succeed in this role, you should possess the following qualifications:
- At least 2 years of general office, clerical, or administrative experience, preferably in a professional services firm.
- High School Diploma or equivalent required.
- Must be tech savvy and comfortable with various computer software systems, Internet/website navigation, and office equipment (multi-line phone system, printer, scanner, copy machine);
- Proficiency with Microsoft Office required.
- Exceptional interpersonal and verbal and written communication skills with a focus on customer service and building relationships.
- Excellent time management skills and the ability to successfully multitask and prioritize work.
- Strong attention to detail and organizational and planning skills in a fast-paced environment.
- Ability to work independently and as part of a team while maintaining a positive and professional attitude.
- Bilingual is a plus

Responsibilities
- Greeting clients and visitors with a warm and professional demeanor and directing or escorting them to the appropriate location.
- Answering and directing incoming phone calls to the appropriate staff.
- Managing incoming and outgoing mail, packages, and courier deliveries efficiently.
- Performing administrative and clerical support tasks including creating, scanning, and organizing documents and creating and responding to emails.
- Scheduling appointments and managing calendars.
- Filing and maintaining accurate records.
- Maintain the reception and waiting areas in a neat and orderly condition.
- Serve as a “friendly face” and “friendly voice” of the firm
- Perform other administrative and clerical duties as assigned.
