Keller Williams Wentz Group Companies

Director of Operations & Finance (Real Estate)

Job Overview

Market Center Administrator (MCA) – Finance, Operations & Systems Leader

Market Center Administrator (MCA) – Finance, Operations & Systems Leader

At KW Coastal Living, the Market Center Administrator (MCA) is not a back-office role—it is the operational and financial backbone of the business.

This role functions as the CFO and COO of the Market Center, with direct responsibility for the financial health of the business and the systems that support agent success.

You will own all cash accounting functions, including managing company finances, overseeing accounts receivable and payable, ensuring accurate and timely commission payments to agents, and supporting financial planning and profitability.

At the same time, this is a highly agent-facing role. You will work closely with real estate agents on a regular basis—answering questions, solving problems, and helping them understand and apply Keller Williams systems and models to run more effective businesses.

This role requires someone who can operate with precision in financial matters while also building trust, communicating clearly, and supporting agents in a fast-paced environment.

When the MCA performs at a high level, the business runs clean, agents are paid accurately and on time, and the entire office operates with clarity and confidence.

We have been named a Top Sarasota Workplace three times since 2020 and are continuing to grow. We are looking for someone who wants to take ownership of a critical function of the business, build systems that last, and operate at a high standard—not someone looking for a routine administrative position.

This is a fast-paced, systems-driven environment with high standards for accuracy, follow-through, and execution. This role is not a fit for individuals who struggle with organization, consistency, or attention to detail.

Success in this role requires managing multiple priorities, maintaining clean systems, communicating effectively with agents, and operating with discipline every day.

Responsibilities

Responsibilities + Day in the Life

What You’ll Do

  • Own all cash accounting and financial operations, including bookkeeping, accounts receivable, accounts payable, budgeting, reporting, and financial planning
  • Ensure accurate and timely commission payments so agents are paid correctly and on schedule every time
  • Maintain complete financial integrity of the business with clean books, accurate reporting, and full visibility into performance
  • Manage agent billing and expenses with consistency, accuracy, and clear communication
  • Serve as a primary point of contact for agents, answering questions and resolving day-to-day business issues

  • Partner with ownership on financial strategy, identifying opportunities to improve profitability and support expansion
  • Identify issues early, solve problems quickly, and maintain a high standard of execution across the business

A Day in the Life

No two days are identical, but your focus is consistent: keep the business running clean, accurate, and on track—while helping agents effectively use the systems that drive their success.

On a typical day, you might:

  • Review financials and ensure all transactions, billing, and reports are accurate and up to date
  • Process and verify agent commissions with precision
  • Troubleshoot discrepancies and resolve issues quickly
  • Meet with agents to answer questions and guide them through systems and tools
  • Support or lead training on systems, processes, and best practices
  • Consult one-on-one with agents to improve workflows and system usage
  • Coordinate or support internal classes that drive consistency across the office
  • Identify inefficiencies and implement process improvements
  • Communicate with leadership on financial performance and operational needs
  • Keep multiple priorities moving without losing control of the details

This role requires someone who can move between numbers, systems, teaching, and people throughout the day while maintaining a high standard of execution.

If you prefer a slow-paced or highly predictable workday, this role will feel demanding. If you thrive in a fast-moving environment where you are trusted to own outcomes, solve problems, develop people, and operate at a high level, you will find this role highly rewarding.
