Accounting Assistant / Front Desk Receptionist

We’re looking for an Accounting Assistant / Front Desk Receptionist who will work 50% in the Accounting Department and 50% at the Front Desk. This role provides a unique opportunity to build foundational skills in accounting while delivering a warm, welcoming experience for clients. Pay Range: $18.00 - $22.00 per hour, based on experience. Our previous receptionist has recently advanced to Account Manager, showing that this role offers clear potential for career progression within our agency.

Requirements
  • Strong attention to detail and data accuracy.
  • Working knowledge of Excel and basic accounting software.
  • Excellent communication, organizational, and multitasking skills.
  • Ability to work independently, efficiently, and within strict time constraints.
  • Strong math skills and accuracy in identifying numerical errors.
  • Discretion in handling sensitive and confidential information.
Responsibilities
  • Manage daily transactions: Prepare daily bank deposits, code invoices accurately, and ensure smooth financial operations.
  • Reconcile and resolve: Identify discrepancies in invoices and handle them promptly and systematically.
  • Maintain records: Organize accounting files, reports, and documents essential for financial reporting.
  • Digital document management: Scan and attach documents to the correct files within our software database.
  • Document retrieval: Access various broker and carrier websites to download and distribute documents like invoices and policy records to account managers.
  • Client and office communication: Greet walk-in clients, answer phones, and manage incoming and outgoing mail.
