Job Overview

As a Customer Experience Representative, you will serve as the first point of contact for all inbound customer calls and play an essential role in creating a positive and lasting impression. Your primary responsibility is to provide an unparalleled customer experience by assisting with their needs, offering support, and ensuring satisfaction throughout their journey with us.

You will also be responsible for maintaining customer relationships by proactively reaching out to check on their satisfaction, scheduling follow-ups, and ensuring everything continues smoothly for them. In addition, you will perform a variety of administrative duties to help the company stay organized and run efficiently.

Requirements
  • Experience: Previous experience in customer service, secretary, or administrative role preferred.
  • Communication Skills: Exceptional verbal and written communication skills with a friendly, warm, and professional phone manner.
  • Organizational Skills: Strong attention to detail and excellent organizational skills, with the ability to manage multiple tasks at once.
  • Customer-Focused: A passion for delivering outstanding service and making every customer interaction a memorable one.
  • Technology Proficient: Comfortable using office software (e.g., Microsoft Office Suite) and customer management systems.
  • Problem-Solving: Ability to anticipate customer needs and resolve any issues or concerns in a timely and professional manner.
Responsibilities
  • Inbound Call Management: Answer all inbound customer calls with enthusiasm, professionalism, and an unwavering focus on delivering excellent customer service.
  • Customer Satisfaction: Ensure all customer requests are addressed promptly and effectively. Follow up periodically with customers to check on their experience, offer additional assistance, and ensure satisfaction.
  • Proactive Customer Outreach: Reach out to customers for check-ins and follow-ups, to set review appointments, and to wish them a happy birthday or special occasions.
  • Organizing and Maintaining Files: Efficiently organize, store, and retrieve important customer information, documents, and records to maintain smooth operations.
  • Scheduling and Coordination: Manage appointment scheduling for customers, ensuring that meetings and calls are scheduled in a timely manner.
  • Administrative Support: Assist with any other administrative tasks that ensure the smooth operation of the office, including data entry and correspondence, and support various departments as needed.
  • Customer Experience Enhancement: Continuously look for opportunities to enhance customer interactions and elevate the customer experience, suggesting improvements to processes and communications where applicable.
