Job Overview

We are seeking an experienced professional who has previously held a role as a Service Dispatcher, Service Advisor, or Service Manager. The ideal candidate will be well-versed in managing service workflow, ensuring quality repair standards, and delivering high levels of customer satisfaction. They should be adept at balancing multiple priorities, maintaining clear communication, and optimizing technician productivity. Familiarity with industry regulations, warranty protocols, and dealership processes is essential. This individual will play a key part in contributing to a smooth-running service department and exceptional customer experience. 

Salary Range: $45,000.00 - $55,000.00 per year

Requirements
  • Previous Automotive Service Support is strongly recommended
  • The ability to multi-task and handle multiple tasks at once
  • Basic math skills and the ability to prepare estimates are required. 
  • Strong communication skills, including the ability to speak clearly, read and understand instructions, and write concise, accurate reports. 
  • A professional, courteous attitude and a commitment to delivering excellent customer service. 
  • Familiarity with standard repair and maintenance protocols, as well as relevant regulatory guidelines. 
Responsibilities

Dispatch & Workflow Management: 

  • Implement and maintain an effective dispatch system to schedule work efficiently. 
  • Assign repair orders based on technician skill level and complexity of tasks. 
  • Prioritize and manage comeback repairs promptly to ensure timely attention. 

Repair Order Oversight: 

  • Review incoming repair orders for clarity and completeness, ensuring documented complaints, causes, and corrections. 
  • Prepare and revise repair estimates as needed, including parts and labor. 
  • Open and close repair orders, ensuring proper documentation and punch times for each operation. 

Quality Assurance & Compliance: 

  • Verify that all completed repairs meet factory and dealership standards for quality. 
  • Confirm technicians follow warranty and material disposition procedures. 
  • Stay updated on and comply with all relevant federal, state, and local regulations, including hazardous waste disposal and OSHA standards. 

Communication & Customer Service: 

  • Monitor job status and promptly notify service advisors or customers of any changes in time or cost estimates. 
  • Contact customers regarding special-order parts arrivals to schedule appointments. 
  • Maintain a courteous, professional demeanor and commit to high customer satisfaction standards. 

Administration & Record Keeping: 

  • Keep an organized, current log of all work in progress and completed repairs. 
  • Maintain accurate records of credit approvals, ensuring customers’ financial transactions meet dealership requirements. 
  • Communicate job status and outstanding issues with the next shift supervisor. 

Departmental Coordination & Maintenance: 

  • Coordinate parts requirements with the parts department, addressing recurring shortages or issues to the service and parts managers. 
  • Oversee and schedule maintenance of service department vehicles and equipment. 
  • Prepare lists of needed equipment, supplies, and repairs, and review them with the service manager as needed. 

General Duties: 

  • Keep the work area clean, safe, and organized. 
  • Contribute to maintaining a professional, well-groomed appearance. 
  • Assist in upholding safety policies, housekeeping standards, and compliance throughout the service department. 
  • Perform other duties as assigned.
