Job Overview

We are seeking a reliable, detail-oriented, and customer-focused individual to fill the role of Customer Service & Operations Coordinator. This position plays a critical part in ensuring smooth day-to-day operations by managing phone inquiries, processing customer payments, coordinating rental vehicles, and scheduling service appointments. The ideal candidate will possess strong communication skills, a friendly demeanor, and the ability to multitask in a fast-paced environment.

Requirements

Education & Experience

  • High school diploma or equivalent (some college or vocational training preferred).
  • Prior experience in customer service, cashiering, scheduling, or rental coordination is beneficial.

Technical Skills

  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Familiarity with scheduling or point-of-sale systems; willingness to learn dealership-specific software.

Communication & Interpersonal Skills

  • Clear verbal and written communication skills for handling phone calls and customer interactions.
  • Ability to remain courteous and professional under pressure.

Organizational Skills

  • Proven aptitude for multitasking in a fast-paced environment.
  • Attention to detail in record-keeping, payment processing, and scheduling.

Customer-Focused Approach

  • Demonstrated passion for delivering excellent customer service.
  • Willingness to address customer inquiries and resolve issues promptly.

Responsibilities

Phone Operator:

  • Handle inbound calls, provide general information, and direct inquiries to the appropriate department.

Cashier:

  • Process customer payments (cash, credit, check) accurately, maintain transaction records, and reconcile daily receipts.

Rental Vehicle Coordinator:

  • Oversee rental reservations, prepare agreements, ensure vehicles meet safety standards, and monitor fleet availability.

Service Scheduler:

  • Schedule and confirm service appointments, coordinate with technicians on availability, and maintain an organized scheduling system.
